    Job Description:

    The Executive Operations Coordinator ensures that executive decisions are translated into clear action plans, timelines, and ownership across cross-functional teams. Serving as a central point of coordination between executives, management, and external partners, this role drives accountability, visibility, and follow-through, helping LandSeed execute initiatives efficiently and effectively.

    Key Roles & Responsibilities

    Decision-to-Execution Management

    • Translate executive decisions into clear, actionable execution plans
    • Assign ownership, timelines, and deliverables across internal and external teams
    • Track progress, dependencies, and blockers across multiple initiatives
    • Proactively escalate risks, delays, and execution issues to the executive

    Executive & Cross-Functional Communication

    Serve as the primary liaison between the executive and senior stakeholders, including:

    • Legal counsel
    • Accountants and finance partners
    • Capital sources and investors
    • Technical teams (architecture/engineering)
    • Business development partners
    • Translate high-level business direction into execution-ready instructions
    • Maintain a consistent executive communication cadence (approximately 1 hour per day, 4 days per week)
    • Ensure executive communication time results in productive downstream execution

    Contract & Legal Workflow Coordination

    • Review, organize, and manage contracts and agreements
    • Perform non-legal contract edits for clarity and execution readiness
    • Coordinate with legal counsel to track revisions, approvals, and deadlines
    • Maintain accurate contract documentation and status tracking

    Financial & Accounting Administrative Support

    • Review financial spreadsheets and reports for accuracy and completeness
    • Coordinate with accountants on documentation, timelines, and follow-ups
    • Support high-level financial arrangements by organizing data and communications
    • Track financial action items resulting from executive decisions

    Workflow, Systems & Tools Management

    • Manage tasks, projects, and execution workflows using ClickUp or future internal systems
    • Build and maintain dashboards reflecting executive priorities and execution status
    • Support system migrations and process improvements
    • Ensure documentation, action items, and communications are centralized and organized

    Flexible Executive Operations Support

    • Provide ongoing operational and administrative support across evolving priorities
    • Enable the executive to focus on strategic decision-making and relationship management.

    Required skills and qualifications:

    • 2 years of proven experience supporting senior executives in an operational, strategic, or executive assistant role
    • Strong business acumen and ability to understand executive-level decision-making
    • Excellent written and verbal communication skills for executive and senior stakeholder interactions
    • Exceptional attention to detail with strong organizational and follow-through skills
    • Advanced proficiency in spreadsheets (reviewing, tracking, summarizing data)
    • Experience with contract management and coordination (non-legal)
    • Comfortable coordinating with legal and accounting professionals

    Preferred Qualifications

    • Background in operations, finance, accounting administration, or project management
    • Experience working with investors, business owners, or technical teams
    • Familiarity with ClickUp or similar project management tools
    • Experience in fast-paced, multi-stakeholder environments
