    Description

    Affirmation: LGBTQ Mormons, Families & Friends is seeking a dependable, highly organized Volunteer Board Secretary to support the governance and work of our international Board of Directors.

    Affirmation is an international nonprofit organization creating worldwide communities of safety, love, and hope and promoting understanding, acceptance, and self-determination for individuals of diverse sexual orientations, gender identities, and expressions. Our community includes LGBTQ+ individuals, family members, friends, and allies with diverse relationships to The Church of Jesus Christ of Latter-day Saints and Mormon communities.

    About the Role

    The Board Secretary plays an important role in maintaining transparency, accountability, continuity, and an accurate governance record for Affirmation's Board of Directors.

    The Secretary documents Board meetings and actions, maintains official governance records, supports effective Board processes, and helps preserve institutional memory across leadership transitions.

    This is a remote volunteer leadership opportunity open to qualified individuals worldwide.

    Time Commitment: Approximately 4–8 hours per month, including attendance at monthly Board meetings, currently held on the second Sunday of each month with occasional exceptions, plus preparation and follow-up time.

    Responsibilities

    The Board Secretary will:

    • Record accurate minutes for meetings of the Board of Directors, including motions, votes, decisions, and action items appropriate for the official record.
    • Collaborate with the Board President to prepare and circulate meeting agendas, reports, supporting documents, and other Board materials.
    • Track Board attendance and quorum.
    • Coordinate the review, correction, approval, and archiving of Board minutes.
    • Maintain current and historical bylaws, Board resolutions, policies, committee rosters, and other governance records in an organized digital archive.
    • Help preserve institutional memory and continuity across leadership transitions.
    • Support Board member onboarding and offboarding through access to appropriate governance documents and records.
    • Work with committee chairs and organizational leaders to gather reports and materials for Board meetings.
    • Ensure timely communication of Board decisions and relevant materials.
    • Support multilingual distribution of Board materials when needed.
    • Participate effectively in virtual Board meetings and assist with basic meeting administration as appropriate.

    Qualifications

    We are looking for someone who has:

    • Strong organizational skills and attention to detail.
    • Strong written communication skills and the ability to turn meeting discussions into clear, accurate minutes.
    • Reliability, responsiveness, and consistent follow-through.
    • Sound judgment regarding confidentiality, documentation, information sharing, and sensitive matters.
    • Comfort using Google Workspace, including Google Docs, Drive, Calendar, and shared folders.
    • Comfort using Zoom and common virtual meeting features.
    • Ability to maintain clear and organized digital records.
    • Comfort learning new digital tools and organizational systems.
    • Ability to work effectively in a remote, geographically distributed volunteer organization.
    • Ability to work respectfully with people across cultures, countries, languages, time zones, identities, and differing perspectives.
    • Commitment to Affirmation's mission and international LGBTQ+ community.

    Preferred Qualifications

    Experience as a Board Secretary is not required. Relevant experience may come from nonprofit governance, administration, records management, meeting documentation, project coordination, executive support, or other professional or volunteer settings.

    Working proficiency in both English and Spanish is preferred but not required. Experience working with international or multicultural organizations and Portuguese or other additional language skills are also welcomed.

    Language Access

    Affirmation is an international and multilingual organization. The Board Secretary should be comfortable working with leadership and materials across languages and cultures and coordinating appropriate language support when needed.

    The Board Secretary is not expected to serve as a professional interpreter during Board meetings. Formal meeting interpretation is handled separately so the Secretary can focus on accurately documenting Board actions and decisions.
