    Description

    DEPARTMENT: Administration/Executive

    ROLE TITLE: Strategic Planner

    REPORTS TO: Chief Executive Officer

    LOCATION: Remote/Olympia, Washington State

    LEVEL/SALARY: Volunteer (with pathway to paid role)

    DESIRED HOURS: Monday through Saturday, Flexible Parttime Hours

    ORGANIZATION DESCRIPTION: C.A.R.E. Wellness Center & Services

    C.A.R.E. Wellness Center & Services is a 501(c)(3) nonprofit dedicated to healing from Post‑Traumatic Slave Syndrome (PTSS) through Spirituality, AgroTourism, Community Wellness, and Racial Justice. We serve BIPOC individuals and allies impacted by systemic oppression, trauma, justice involvement, foster care, and mental‑health challenges. Our vision is Connectivity: to Nature, to God, and to Self, and our long‑term goal is the acquisition of farmland to establish a spiritual healing retreat and community wellness campus.

    Our Mission is to provide a safe farm stay, holistic retreat, and wellness programs for black, indigenous, people of color and allies, to recover from Post-Traumatic Slave Syndrome via Spirituality, AgroTourism, and Racial Justice.

    Our Vision is Connectivity: to Nature; to God; and to Self. Our goal of acquiring farmland is to establish a safe spiritual retreat for people of color to escape constant trauma and begin repairing their fractured foundation and realize self-actualization. Our programs are a research community project with a goal of empowering others to heal from PTSS.

    The CEO is a woman of color, pansexual, and a person with disabilities leading both C.A.R.E. Wellness Center (nonprofit) and C.A.R.E. Family Services, LLC (direct services). The Strategic Planner plays a mission‑critical role in aligning operations, programs, and financial strategy for both entities.

    JOB SUMMARY:

    The Strategic Planner supports the CEO and Executive Team by developing, organizing, and maintaining C.A.R.E.’s strategic direction while building the internal systems needed for organizational growth. This includes strategic planning, financial coordination support, systems development, KPI tracking, cross‑functional project management, and supporting program/operations alignment.

    This role directly supports major initiatives including:

    • Strategic Plan refinement for 2026–2029
    • Quality Assurance for organizational success
    • Program launch planning for SAFE, Agrotourism, Retreats, and Wellness Services
    • SharePoint, Notion CRM, and organizational structuring
    • Time Bank system development
    • GANTT chart maintenance and long‑term milestone tracking
    • Community engagement and partnership infrastructure

    This position is ideal for a highly organized, strategic thinker with experience in nonprofit development, system building, or program operations.

    RESPONSIBILITIES:

    1. Strategic Planning & Implementation

    • Support the CEO in updating C.A.R.E.’s Strategic Plan, annual goals, KPIs, and funding roadmap.
    • Track long‑term milestones using project trackers, GANTT charts, and the Annual Work Plan.
    • Facilitate weekly Executive Team strategy sessions and prepare planning materials.
    • Conduct environmental scans, research emerging needs, and identify growth opportunities.
    • Translate high‑level strategy into actionable weekly, monthly, and quarterly tasks.
    1. Organizational Systems & Infrastructure
    • Maintain C.A.R.E.’s systems: SharePoint, Notion CRM, OneDrive, booking systems, HR ticketing, IT ticketing, R&D ticketing.
    • Support development of the Time Bank, including oversight of hour tracking, redemption coordination, and cross‑department integration.
    • Organize and update Program, Executive, HR, Finance, and Marketing folders across SharePoint environments.
    • Manage the Organizational Risk Management Dashboard and weekly Issue Tracker.
    1. Program & Operational Coordination
    • Sync weekly with Program roles (Program Director, Program Assistant, Facilities Team) to ensure operational alignment.
    • Support program planning, logistics, quality assurance, and facilitator coordination.
    • Review program models, application processes, outcomes, and performance indicators for accuracy.
    • Monitor retreat planning, agrotour logistics, and community engagement scheduling.
    1. Data, Reporting & KPI Tracking
    • Maintain weekly reporting systems: Time Tracking, KPI dashboards, SMART goals, monthly and quarterly reports.
    • Collect, organize, and update evaluations, outcomes, and Executive Team summaries.
    • Support grant‑related reporting by gathering program and operational data.
    • Ensure documentation is timely, accurate, and archived correctly.
    1. Cross‑Functional Leadership Support
    • Attend weekly Leadership and Cross‑Functional Team meetings to provide updates and receive directives
    • Supervise the Administrative Assistant and support volunteers as needed.
    • Prepare presentation materials, briefing notes, and written summaries for the CEO and Board.
    • Maintain Executive calendars, meeting agendas, and scheduling workflows.
    1. Community Engagement & Partnerships
    • Support outreach to community‑based organizations, farm partners, ambassadors, and local agencies.
    • Help manage Community Engagement Surveys, partnership tracking, and CRM updates.
    • Coordinate meetings, MOUs, partnership folders, and follow‑up actions.
    • Align strategic initiatives with community needs and stakeholder expectations.

    ESSENTIAL FUNCTIONS:

    • Excellent written and oral communication skills.
    • Strong analytical, planning, and strategic thinking ability.
    • Ability to develop systems, improve workflows, and coordinate cross‑department tasks.
    • Proficiency in documentation, data entry, and file management.
    • Ability to supervise and support administrative staff.
    • Comfortable working remotely and independently while meeting deadlines.

    WORK CONDITIONS & PHYSICAL REQUIREMENTS:

    • Remote work with occasional in‑person meetings, training sessions, or community engagement events.
    • Some standing, minimal lifting, and potential exposure to plants, animals, and scents.
    • Local travel is possible.

    QUALIFICATIONS:

    • Strong commitment to C.A.R.E.’s values of spirituality, sustainability, wellness, and racial equity.
    • Experience in strategic planning, systems building, nonprofit management, or project coordination.
    • Strong organizational skills and comfort working with complex systems.
    • Ability to synthesize large amounts of information into actionable plans.
    • Skilled with digital tools, analytics, and collaborative software.
    • Prior experience with startup nonprofits preferred.
