    Reports To: Chief of Operations & Organizational Strategy / Executive Director

    Works Closely With: Senior Leadership Team, Division Chiefs, Program Directors, Legal & Governance, PromiseShield, PromisePeople, and Strategic Initiatives Teams

    Mentor A Promise (MAP) is a New York City–based nonprofit organization dedicated to supporting children and youth experiencing housing instability through mentorship, education, social-emotional learning, literacy, creative expression, and community-centered programming.

    Our work spans education, technology, storytelling, public engagement, operations, and organizational development. As MAP continues to scale, we are building systems designed to support long-term sustainability, institutional trust, accountability, and mission execution.

    About PromiseOperations | Systems, Governance & Organizational Execution

    PromiseOperations is MAP’s operational infrastructure division responsible for organizational coordination, workflow management, execution systems, and strategic alignment across teams.

    The division ensures that leadership priorities move from discussion into implementation through structured systems, accountability, and operational clarity.

    Role Overview

    MAP is seeking a highly organized, systems-oriented, and mission-driven Director of Executive Operations to help coordinate organizational execution across leadership, operations, and strategic initiatives.

    This role serves as a central operational partner to executive leadership and functions as a high-level coordinator responsible for ensuring organizational priorities move from discussion into execution.

    The Director of Executive Operations will help oversee:

    • Executive coordination
    • Leadership operations
    • Meeting governance
    • Organizational planning systems
    • Cross-divisional accountability
    • Strategic follow-through
    • Operational communication
    • Institutional workflow management

    This individual must operate with professionalism, discretion, structure, and operational discipline in a fast-moving, mission-centered environment.

    This role supports executive coordination and organizational execution but does not independently establish organizational policy or legal governance decisions.

    Core Responsibilities

    Executive Coordination & Leadership Operations

    • Coordinate senior leadership operations and planning meetings
    • Track action items, deadlines, strategic priorities, and follow-through
    • Support executive workflow organization and operational alignment
    • Prepare agendas, briefing materials, and coordination documents
    • Help facilitate cross-divisional communication and accountability

    Organizational Governance & Planning

    • Support operational planning cycles and implementation processes
    • Maintain leadership coordination systems and decision-tracking documentation
    • Help identify operational gaps and workflow inefficiencies
    • Support development and maintenance of SOPs and internal operational documentation
    • Assist with organizational structure and scalability planning

    Cross-Division Coordination

    • Serve as an operational liaison across MAP divisions and leadership teams
    • Ensure organizational priorities remain aligned across departments
    • Coordinate follow-up communications related to operational initiatives
    • Support collaboration and project execution systems across teams

    Meeting Governance & Accountability Systems

    • Help oversee operational meeting structures and coordination standards
    • Monitor follow-up timelines and accountability systems
    • Support communication expectations, reporting systems, and workflows
    • Maintain documentation integrity and operational professionalism

    Organizational Systems & Documentation

    • Support operational documentation management and institutional knowledge organization
    • Improve systems for information sharing and operational continuity
    • Assist in maintaining centralized records and workflow processes

    Qualifications

    Required

    • Strong organizational, coordination, and operational management skills
    • Excellent written and verbal communication abilities
    • High attention to detail and follow-through
    • Ability to manage multiple priorities simultaneously
    • Strong professionalism, discretion, and judgment
    • Experience supporting leadership teams, operations, or organizational systems
    • Comfort working in collaborative, evolving environments
    • Ability to work independently and proactively
    • Alignment with MAP’s mission and dignity-centered values

    Preferred

    • Experience in nonprofit operations, executive operations, project management, administration, or organizational development
    • Experience supporting cross-functional teams
    • Familiarity with Google Workspace systems and collaborative workflows
    • Experience improving operational systems and processes
    • Background in operations, nonprofit management, public administration, business administration, or related fields
