The Role
Open Shadows seeks an Operations & Administration Manager to lead the organization's day-to-day operations. Reporting to the Executive Director, this role holds the financial, administrative, and systems functions that support our programs and staff.
The engagement is part-time (contractor), $26-$28/hr, approximately 20 hours per week, and is structured to sit alongside other work.
Responsibilities
- Manage financial administration and bookkeeping in coordination with the organization's fiscal sponsor, including expense tracking, payment processing, and support for budgeting and grant reporting.
- Administer contracts, contractor onboarding, organizational records, and compliance requirements.
- Administer the organization's operational platforms, including project management, communications, and financial tools, and support consistent use across the team.
- Coordinate operations across three distinct but overlapping projects and their personnel.
- Manage onboarding and offboarding, including the secure setup and retrieval of accounts and equipment.
- Provide administrative and scheduling support to the Executive Director, including correspondence, calendar management, and travel coordination.
- Maintain organizational records, track key deadlines, and document standard operating procedures.
- Evaluate and recommend operational tools as organizational needs develop.
- Additional ops or admin responsibilities as needed.
Qualifications
- Experience in operations or administration within a nonprofit or small organization.
- Demonstrated success implementing and maintaining organizational systems, including project-management platforms.
- Demonstrated commitment to social justice and democracy.
- Strong organizational skills and the ability to manage competing priorities independently.
- Working knowledge of bookkeeping and of standard digital collaboration tools.
- Discretion and sound judgment in handling confidential information.
Preferred Qualifications
- Experience with wide range of administrative softwares.
- Familiarity with fiscal sponsorship or grant administration.
