    Description

    Department of Sound is a Sacramento-based 501(c)(3) music and media education nonprofit serving underserved youth. We're seeking an experienced independent bookkeeper with their own multi-client practice to own our monthly accounting in QuickBooks Online as we transition from someone who is retiring. Transaction volume is low and the books are well-organized.

    Estimated time commitment: ~10–20 hours per month.

    Scope of work

    • Biweekly payroll for 2 W-2 employees in QuickBooks Payroll (approve exported timesheets, preview, transmit)
    • Bank-feed review and coding, with rules set up per new contract
    • Bill entry, document upload, approval workflow, and ACH payment runs
    • Monthly reconciliations (2 bank accounts + 1 credit card)
    • Monthly indirect cost allocations (fringe/operations/admin) via spreadsheet and journal entry
    • Monthly financial statements and soft close
    • A monthly "funds remaining by grant" budget-vs-actual report (manual template — our grant periods span fiscal years)
    • Maintenance of our restricted-cash-aware Excel cash flow projection
    • Quarterly financial package for our board treasurer
    • Annual 1099-NEC filings and vendor W-9 setup
    • Coordination with our retained senior advisor, who keeps the Form 990, state registrations, and specialty funder reports

    You are

    • US-based, running your own multi-client bookkeeping practice (business entity, other active clients)
    • Strong nonprofit fund-accounting experience: restricted vs. unrestricted net assets, class-based grant tracking in QuickBooks Online
    • Comfortable with QuickBooks Online and QuickBooks Payroll
    • Carrying errors & omissions insurance
    • Setting your own schedule and using your own tools

    The bar: we need judgment, not just data entry. Finalists will walk through our actual cash flow file with us.
