    Summary of the Position

    The Drama League seeks a highly organized, detail-oriented, and collaborative Finance & Administration Manager to oversee the day-to-day financial and administrative operations of our nonprofit organization.

    This position is an essential member of The Drama League’s team and serves as a key operational partner to the Executive Director. The Finance & Administration Manager is responsible for maintaining accurate financial records, managing accounts payable and receivable, coordinating payroll and benefits, supporting the annual audit, overseeing vendors and office systems, and ensuring that the organization’s administrative infrastructure runs smoothly and efficiently.

    The ideal candidate combines strong nonprofit financial management skills with a service-oriented approach to administration. They are comfortable working independently, enjoy solving problems, and understand that excellent behind-the-scenes operations are essential to advancing an arts organization’s mission.

    Founded in 1916, The Drama League of New York is one of the nation’s longest-running arts service organizations and a leading creative and career development home for directors.

    Through The Directors Project, The Drama League provides fellowships, residencies, assistantships, international exchanges, professional development opportunities, and artistic resources that support directors and their collaborators throughout their careers. The organization also produces The Drama League Awards, one of the theater industry's longest-running annual honors.

    Key Responsibilities

    Finance & Fiscal Administration

    • Manage day-to-day financial operations, including accounts payable, accounts receivable, reimbursements, deposits, and organizational payments.
    • Maintain accurate financial records in QuickBooks, including general ledger activity, reconciliations, supporting documentation, and coordination of fundraising income with the Development team.
    • Monitor cash flow and prepare routine financial reports, budget tracking, grant reports, and quarterly financial materials for leadership and the Board.
    • Manage the preparation of the organization’s annual operating budget according to the direction, priorities, and financial parameters established by leadership.
    • Coordinate payroll processing, annual 1099s, and other required financial reporting.
    • Serve as the primary liaison with accountants, auditors, banks, and financial vendors; coordinate the annual independent audit and support required tax and regulatory filings.
    • Administer Drama League Studio Lab rental contracts and payments.
    • Maintain and strengthen financial policies, procedures, and internal controls consistent with nonprofit best practices.

    Administration & Office Operations

    • Manage day-to-day office operations, administrative systems, records, supplies, equipment, and facilities needs.
    • Provide administrative support to the ED, including scheduling, correspondence, filing, and special projects.
    • Coordinate employee onboarding and offboarding, payroll and benefits administration, and insurance-related documentation in partnership with the organization’s PEO and other providers.
    • Manage relationships with building management, IT consultants, technology providers, and other vendors, negotiating for quality and cost effectiveness when appropriate.
    • Maintain secure and organized physical and electronic records in accordance with organizational policies.
    • Support organization-wide administrative needs, events, and special projects as needed.

    Qualifications

    Successful candidates will ideally bring:

    • Three to five years of experience in financial operations, administration, nonprofit management, or a related field.
    • Experience with nonprofit financial administration, including accounts payable/receivable, reconciliations, financial reporting, payroll, and annual audits.
    • Strong proficiency with QuickBooks and comfort working across financial, database, Microsoft Office, and Google Workspace systems.
    • Experience coordinating employee benefits, insurance, and vendor relationships.
    • Excellent organizational and communication skills, with strong attention to detail and the ability to manage multiple priorities and deadlines.
    • Sound judgment and discretion when handling confidential financial and personnel information.
    • Experience in a nonprofit, performing arts, cultural, or similarly mission-driven organization is strongly preferred.

    Please Consider Before Applying

    • This is a full-time, exempt position based in New York City with a salary of $70,000 annually.
    • The position is semi-hybrid: in-office Monday, Tuesday, Thursday, and Friday from 10:00 a.m.–6:00 p.m., with remote work on Wednesdays.
    • Some evening and weekend attendance is required for Drama League programs, events, and organizational activities.
    • The Finance & Administration Manager reports directly to the Executive Director and works closely with senior leadership and staff across departments.
    • This role requires a high degree of autonomy, organization, accuracy, and discretion, particularly when handling financial and personnel information.
    • The ideal candidate is proactive, dependable, collaborative, and comfortable managing multiple priorities in a dynamic nonprofit environment.
    • Occasional light lifting related to office operations and event preparation is required.

    Level of Language Proficiency
