    Overview

    The Staff Accountant is a critical member of the Wellness, Sleep & Circadian Network (WSCN) finance team, responsible for maintaining the integrity of the organization’s financial records. This position is responsible for general ledger maintenance, transaction processing, monthly close activities, and grant and restricted fund tracking. The Staff Accountant plays a key role in ensuring accurate financial reporting, compliance with nonprofit accounting standards, and stewardship of donor and grant funds.

    Reports To

    Finance Director

    Essential Duties and Responsibilities

    General Accounting & Transaction Processing

    • Record and post journal entries, including accruals and adjustments
    • Process accounts payable data entry and assist with accounts receivable as needed
    • Maintain accurate coding of expenses and revenue in accordance with nonprofit fund accounting standards
    • Maintain organized digital financial records and supporting documentation

    Monthly Close & Reporting

    • Assist in coordinating and completing monthly and year-end close
    • Prepare and reconcile general ledger accounts
    • Support preparation of monthly financial statements and internal reports
    • Track and monitor restricted net assets
    • Assist in preparation of audit schedules and support external auditors

    Grant & Restricted Fund Accounting

    • Track grant revenue and expenses by funding source
    • Ensure proper allocation of restricted funds
    • Assist with grant reporting and financial compliance requirements
    • Monitor grant budgets and notify Finance Director of variances

    Compliance & Internal Controls

    • Maintain adherence to internal controls and accounting policies
    • Route approval requests to the Finance Director and Chief Operating Officer as needed.
    • Support 990 preparation and other regulatory filings as needed
    • Assist with development and improvement of accounting procedures

    Required Qualifications & Skills

    • Bachelor’s degree in Accounting, Finance, or related field
    • 2–5 years of accounting experience (nonprofit experience preferred)
    • Understanding of nonprofit accounting principles, including fund accounting and restricted net assets
    • Experience with accounting software (e.g., QuickBooks or similar)
    • Strong Excel skills
    • High attention to detail and strong organizational skills
    • Ability to manage multiple priorities in a small team environment

    Preferred Qualifications

    • Experience with healthcare-related grants or government funding
    • Experience supporting annual audits
    • Knowledge of Form 990 preparation

    Physical & Environmental Requirements

    • Ability to remain in a stationary position for extended periods.
    • Ability to operate a computer and other office equipment.
    • Ability to lift up to 20 pounds occasionally.
