Purpose and Character of the Role
The Project Coordinator will play two critical roles:
- Coordinator of Special Projects
- Coordinator of Office Projects
This role is for someone who wants to contribute to a nonprofit’s mission and who has a strong desire for personal and professional growth. This role is not for someone who wants to work in a bureaucracy.
You will report to the Vice President of Operations, with regular communication with the MSA staff, contractors, commissioners, and others.
General Duties and Responsibilities
- Serve as the central point of coordination across departments, tracking projects and facilitating communication.
- Support work of accreditation, including preparing formal reports, meeting materials, and internal documentation.
- Lead implementation of project management software (including serving on the subscriptions team) and maintain project boards.
- Manage member portal helpline and assist with design and data management of CRM software.
- Exercise exceptional calendar management and coordination of calendars.
- Coordinate office needs including mail, invoices, and check processing.
Other duties as assigned, because projects can be unpredictable!
Qualifications for the Position
- Work from the Philadelphia office at least two days a week.
- Self-starter, adaptable, and organized.
- Strong attention to detail.
- Strong interpersonal skills.
- Strong work ethic.
- Familiarity with membership software and project management tools is a plus.

- Anticipates problems and takes initiative to solve them, often creatively.
- Views diversity within teams as a source of potential superpowers.
- Asks lots of questions and challenges conventional wisdom in a helpful way.
- Willing to learn a lot. Understands that learning from mistakes is an essential precursor to doing great work, because “failure” is the tuition we pay for our successes.
- Use AI to create new ways of working and new sources of value for colleagues and members. (The Middle States stance is “human-driven, AI-informed” so we always put people first. That means we provide ongoing AI training.)
