    The Grants Coordinator must be detailed oriented, organized, and possess the skills necessary to support the work of the Grants Manager. The Grants Coordinator will create reports, provide data, assist with invoicing and perform other duties related to the application and reporting required for various federal, state, local and private grants. The Grants Coordinator will assist the accounting department with monthly bank account reconciliation and other tasks as needed.

    The Grants Coordinator reports to the Grants Manager.

    Essential Functions

    1. Assist in the administration of grants and funded projects, ensuring compliance with guidelines and deadlines. This includes research, tracking, processing reports, and maintaining accurate records.
    2. Helps manage databases related to grants, including updating records and generating reports, and research.
    3. Provides support for program evaluation (site visits), assists with obtaining all supporting documentation.
    4. Assists with tracking and reviews grantee payments and reports due.
    5. Assists with the preparation of monthly grant invoice and reporting.
    6. Assists the Grants Manager with preparation of journal vouchers for monthly grant invoices and reconciles accounts receivable ledger.
    7. Assists in quarterly and annual grant financial and statistical reporting.
    8. Assists in preparation for annual audit and monitoring visits.
    9. Obtains data as needed from case management system for grant evaluation and monitoring.
    10. Gathers, and reviews all supporting documentation to be sent with monthly grant reports.
    11. Exports time from case management system and distributes pay to proper grant funding codes.
    12. Researches and identifies grant balances
    13. Assists with creating grant budgets in collaboration with accounting team.
    14. Monthly reconciliations of grant GL’s and expenses, including AP expenses and employee compensation allocated to various grants, what was billed to grantors and which expenses are considered match spending.
    15. Maintains grant folders, including expenses billed to grantors and material justifying our monthly grant drawdowns, as well as invoices paid by the grantors and checks received.
    16. Other duties as assigned.

    Requirements

    1. AS or AA Degree in Accounting or 4 or more years of experience in non-profit applied accounting principles required.
    2. Advanced skills in Microsoft Excel.
    3. Familiarity with Abila or similar accounting software.
    4. Ability to work independently and produce accurate results.
    5. Ability to work under pressure and meet deadlines.
    6. Ability to manage multiple responsibilities and prioritized properly.
    7. Ability to communicate effectively with various internal constituencies.

    This position operates in a professional office environment.

    Physical requirements

    This is a largely sedentary role, however, some lifting of office supplies up to 20 pounds may be required.

    The Grants Coordinator of Florida Rural Legal Services, Inc. is not subject to the FRLS collective bargaining agreements.
