Administrative & Operations Coordinator Job Description
The Administrative & Operations Coordinator is a full-time position that supports SFBATCO’s day-to-day administrative, financial, and operational functions. This role is responsible for managing the SF Office of Economic and Workforce Development Workforce Program records and reporting, coordinating grant and bookkeeping processes, and maintaining our physical office space, storage, and facility operations. The Coordinator reports to and works closely with the Director of Operations and serves as operational support and coverage in their absence.
This position is ideal for someone who is highly organized, detail-oriented, systems-minded, and comfortable balancing administrative precision with practical operational problem-solving.
Employment Type: Full-time
Compensation: $60,000
Status: Non-exempt
Location: Hybrid. Must be able to work onsite in San Francisco at least 50% of the time and have access to a personal vehicle.
Key Responsibilities
SF Office of Economic and Workforce Development Administration (Approx. 50%)
- Manage and maintain participant case files and documentation for SF OEWD programs
- Track participant data, outcomes, attendance, and required compliance information
- Upload and maintain records within SF OEWD and internal database systems
- Ensure files and reporting are accurate, complete, and audit-ready
- Coordinate with staff and program participants to collect required documentation
- Support reporting deadlines and compliance requirements related to workforce development contracts
- Create and manage program application forms and submissions
Grants, Finance & Bookkeeping Support (Approx. 20%)
- Prepare and track grant reports and supporting documentation
- Process invoices, payments, reimbursements, and purchase records
- Assist with bookkeeping and financial tracking
- Maintain organized financial and grant records
- Coordinate with external accountants, vendors, and funding agencies as needed
- Support budget tracking and operational financial administration
Office & Facilities Operations (Approx. 20%)
- Coordinate office maintenance, cleanliness, organization, and supplies
- Manage storage systems and inventory
- Serve as a point person for facility-related needs
- Help maintain functional, safe, and organized workspaces
- Support operational logistics for programs, events, and productions as needed
Operational Support (Approx. 10%)
- Retrieve and sort mail from office and follow up on administrative tasks
- Provide administrative and operational support to the Director of Operations and Managing Director
- Serve as operational coverage during periods when the Director of Operations and/or Managing Director are out of office including running payroll.
Qualifications
- 2-4 years of professional experience with administrative coordination, operations, or office management
- 2-4 years of professional experience with bookkeeping or grants administration.
- Comfortable working with spreadsheets, databases, and digital filing systems
- Ability to manage multiple priorities and deadlines independently
- Strong written and verbal communication skills
- Strong organizational skills and attention to detail
- Professional discretion with confidential information
- Experience in nonprofit, arts, education, or community-based organizations is a plus
