    Description

    About Center for the Heart

Center for the Heart (C4TH) is a mission-driven nonprofit dedicated to advancing compassionate, ethical, and community-centered approaches to end-of-life care, grief support, and caregiver services. Our work focuses on education, advocacy, and program development that honors dignity, cultural humility, and whole-person care for individuals and families navigating serious illness, loss, and caregiving.

As the organization continues to build long-term infrastructure and systems, we are strengthening internal operations to support sustainable growth and impact.

(This is a part-time, contract role designed to provide focused operational support during a defined growth phase.)

    About the Role

Center for the Heart is seeking a Contract Executive Assistant to the Chief Operating Officer (COO) to provide project-based administrative and operational support. This role supports the COO’s work across organizational operations, documentation, coordination, and follow-through on key initiatives.

The position is designed to provide the COO with focused operational leverage through clearly defined support areas. Responsibilities are scoped to internal coordination, documentation, and execution support, with an emphasis on organization, clarity, and reliability.

This engagement is structured as an independent contractor (1099) role and is ideal for someone who enjoys supporting senior leadership, maintaining systems, and ensuring details are managed thoughtfully and consistently.

    Key Responsibilities

    • Provide administrative and operational support for COO-led initiatives, with a primary focus on execution, documentation, and follow-through
    • Maintain task trackers, action logs, and status updates across assigned workstreams
    • Prepare internal documents, summaries, briefs, and drafts to support decision-making and communication
    • Organize and maintain digital files, folders, and shared documentation
    • Coordinate with internal team members and external partners, as needed, to support assigned initiatives
    • Support meeting preparation and follow-up, including agendas, notes, action items, and occasional scheduling coordination
    • Assist with the preparation and organization of board or committee materials, as assigned
    • Support internal systems, trackers, and process documentation that improve operational clarity and consistency

    Role Scope

This role is designed to support the Office of the COO, with responsibilities primarily aligned to COO-led priorities and initiatives. From time to time, the contractor may also support other executives or organizational leaders on clearly defined tasks that align with broader operational goals.

The scope of work emphasizes structured administrative and operational support, with flexibility to assist where needed while maintaining a clear primary focus on supporting the COO. The contractor will work independently, manage their own workflow, and deliver agreed-upon outputs within established timelines.

Bachelor’s degree or equivalent professional experience in executive support, operations, or project coordination.

    Benefits

This is an independent contractor (1099) role and does not include traditional employee benefits such as health insurance, paid time off, or retirement contributions.

Contractors may benefit from flexible scheduling, remote work, and exposure to senior leadership and nonprofit operations.
