    Description

    The San Diego Psychoanalytic Center (SDPC) is a small, fast-growing nonprofit dedicated to advancing psychoanalysis and psychodynamic psychotherapy through education, training, and community programs.

    We are seeking a dynamic, organized, and friendly Administrative Coordinator to support our Executive Director with all administrative activities, educational programs, events, and day-to-day operations. This role is ideal for someone passionate about mental health who enjoys working in a collaborative, mission-driven environment.

    Occasional evenings and weekends are required to support courses and events.

    Job Responsibilities:

    Executive Director Support:

      • Meet regularly with the Executive Director to review priorities and administrative needs
      • Provide support with scheduling, correspondence, document preparation, and follow-up
      • Assist with implementing organizational initiatives and maintaining efficient workflows
      • Handle sensitive information with discretion and confidentiality

    Operations:

      • Serve as a professional and welcoming presence for candidates, faculty, members, and visitors
      • Manage the SDPC master calendar, coordinating courses, study groups, committee meetings, and events
      • Maintain organized candidate and program records
      • Process records requests and support general office operations
      • Assist with planning and execution of Center events, including graduation, open houses, and member gatherings

    Training Program Administration:

      • Coordinate course schedules, faculty communications, and classroom logistics (virtual and in-person)
      • Maintain candidate records and track program requirements
      • Distribute course materials and program communications
      • Assist with admissions processes, open houses, and onboarding new candidates

    Membership and Programs:

      • Maintain membership records and track dues and renewals
      • Respond to member inquiries and support member communications
      • Coordinate logistics for lectures, study groups, and continuing education programs
      • Manage registration systems, attendance tracking, and program materials
      • Support Zoom sessions and virtual programming

    Fundraising and Communications:

      • Assist the Executive Director with fundraising initiatives and donor record management
      • Support fundraising events and activities
      • Assist with website updates and create social media content and digital materials using Canva

    Required Qualifications:

      • Highly organized with demonstrated organizational, analytical, critical-thinking, and problem-solving skills
      • Excellent written and verbal communication skills
      • Task-oriented with the ability to manage multiple projects with competing priorities; Proven ability to anticipate deadlines and manage multiple competing priorities.
      • Good technological skills, including Microsoft Office (Excel), Google Workspace (Docs, Sheets, Slides, Drive), Zoom, project management software (Asana, Monday.com, or similar), and basic website editing (Drupal/WordPress)
      • Experience with social media platforms and CRM systems used to support administrative and communication-related tasks.
      • Adaptable, reliable, and able to work both independently and collaboratively
      • Comfortable supporting a wide range of operational needs.
      • Experience in nonprofit, educational, or professional membership organizations preferred.

    Desired Qualifications:

      • Education: Bachelor’s degree preferred.
      • Experience: At least two years of prior experience supporting a senior executive or leadership team.
      • Ethics & Integrity: Demonstrates a high level of professionalism and ethical standards, with a strong commitment to confidentiality, discretion, and adherence to applicable policies and regulatory requirements.
      • Previous experience in a psychoanalytic, therapy, or mental health-related organization is a plus.
