The Accountant / Bookkeeper is responsible for the accurate and timely processing of day-to-day financial transactions for both AHA Projects and its fiscally sponsored projects. This role focuses on bookkeeping, reconciliations, accounts payable and receivable, and maintaining organized financial records.
This position does not set financial strategy but plays a critical role in ensuring the integrity and accuracy of the organization’s financial data.
Key Responsibilities
- Support the full-cycle accounting process, including A/P, A/R, and GL activities.
- Maintain the General Ledger and ensure accurate coding of all financial transactions.
- Prepare and submit donor and funder invoices and monitor A/R aging.
- Process payables, including employee expense reports, reimbursements, and vendor invoices in accordance with AHA policies.
- In close partnership with program and project operations staff, assist with grant financial reporting and budget tracking efforts.
- Maintain digital filing systems for financial documentation
- Perform monthly credit card reconciliations
- Assist with month-end close, quarterly, and annual close processes by ensuring all transactions are recorded accurately
Fiscal Sponsorship Support
- Code income and expenses to the correct sponsored project
- Maintain organized records for multiple projects
- Assist in preparing basic financial reports for project leads
- Monitor project balances and flag discrepancies to the Director of Finance
Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience)
- A proven track record working with general ledger functions and being an integral part of the month-end and year-end close.
- A strong working knowledge of nonprofit accounting and the generally accepted accounting principles, GAAP.
- 3+ years of bookkeeping or accounting experience (nonprofit experience preferred)
- Experience with accounting software (QuickBooks or similar)
- Strong attention to detail and accuracy
- A commitment to working in a dynamic and rapidly growing organization; and a demonstrated ability to manage competing and evolving priorities in a fast-paced setting.
