Position Summary
The HR Coordinator provides day-to-day administrative and operational support across key areas such as benefits, payroll, HRIS, compliance, and recruitment. This position provides general HR administration support to employees in the AACRE network and coordinates the HR inbox to ensure appropriate and timely response.
About AACRE
The Asian Americans for Civil Rights and Equality (AACRE) network was launched in 2014 to focus on long-term movement building, capacity infrastructure, and leadership support for Asian Americans committed to social justice. There are currently 12 partnering member groups with unique strengths. Fiscal sponsorship, administrative, and operational support is provided centrally for all of these groups so they can focus on their core programs.
Position Description
The AACRE HR Coordinator provides day-to-day administrative and operational support across core HR & People Support functions, including benefits, payroll, HRIS, compliance, recruitment, and general HR administration. This position is part of the AACRE HR & People Support team and will support team members and improvement initiatives of the department. AACRE seeks a person who has great attention to detail, is highly organized, and eager to build foundational knowledge and skills across a broad range of human resources operations.
Key Responsibilities
Benefits Administration
- Provide administrative support for annual open enrollment, including preparing materials, tracking employee elections, and following up with employees.
- Assist with processing employee benefit changes.
- Support in the onboarding and offboarding of employees from benefit plans (medical, dental, vision, HRA, etc.), maintaining records, and troubleshooting.
- Assist with routine retirement plan tasks and help coordinate compliance-related tasks
- Process daily benefits transactions including enrollments, terminations, compliance notices, beneficiary updates, and changes.
- Coordinate and track professional development requests for AACRE, CAA, and Stop AAPI Hate employees.
- Generate reports for Finance, HR & People Support, and Leadership as assigned.
Human Resource Information System (HRIS) and Payroll Support
- Assist with semi-monthly payroll processing, including auditing time tracking, benefit deduction changes, process government forms, and sending follow-ups to employees and supervisors.
- Run standard reports in HRIS to support data integrity and respond to routine information requests from Finance, HR, Information and Technology, and leadership.
- Maintain the payroll calendar and support timesheet and payroll related employee communications.
- Assist the HR & People Support department in the implementation of systems and databases, including updating standard operating procedures (SOPs).
- Support employees with HRIS system troubleshooting.
HR Administration, Operations and Compliance Support
- Support day-to-day HR administrative functions, including maintaining and organizing personnel files, employment memos, hiring documents, and performance management records.
- Help manage the HR inbox by fielding inquiries, routing them to appropriate team members, and following up to ensure timely resolution.
- Post job openings on HRIS and job boards, and actively recruit for positions through in-person and online outreach
- Support hiring process, coordinate interviews, and schedule hiring panels.
- Support onboarding and offboarding logistics of employees and coordinate with other AACRE Capacity teams.
- Provide general guidance to employees on HR policies and procedures, and escalating complex matters to other HR & People Support team members as appropriate.
- Administrative and research support on current policies related to HR, including but not limited to employment laws, benefits, leave, and classifications.
- Support in preparing required federal, state, and county compliance reports.
- Assist with administering employee compliance requirements (such as anti-harassment training, mandatory reporting, workplace safety, etc.).
- Maintain labor law postings at the office
- Help respond to appropriate external requests for HR-related information.
Other Duties
- Assist with cross-departmental administrative and operational projects and departmental improvements, as assigned.
- Check the HR mail box for physical mail and distribute to appropriate team members.
- Provide quality and effective customer service to employees, board members, volunteers, clients, donors, and guests. Support in administrative problem-solving and solutions.
- Develop familiarity with HR trends, employment law updates, and evolving HR best practices.
- Support in identifying operational inefficiencies and help implement improvements.
- Contribute to a positive, values-aligned workplace culture.
- Perform other administrative and operational duties as assigned.
Qualifications
- High school diploma/GED
- 2+ years of coordination or assistant experience working in Administration, Operations, Human Resources, or other applicable role
- Experience with or willingness to learn HRIS/payroll platforms
- Familiarity with databases, and Google Workspace tools
- Strong customer service experience, with the ability to clearly communicate information and help resolve questions and concerns
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
- Ability to effectively organize and problem solve with grace and integrity
- Ability to handle confidential information with discretion and professionalism
- Collaborative, proactive, and comfortable working in a fast-paced work environment
- Has a growth mindset, with a genuine interest in building HR and administration skills and knowledge
- Ability to work in-person at the San Francisco office at least two days a week.
Preferred Experience and Qualifications
- Bachelor’s degree in social sciences, organizational management, or human resources management
- Experience working in a nonprofit or within the social justice movement sector
- Cultural awareness and intercultural understanding working with diverse Asian American and Pacific Islander communities
- PHR, PHRca, SHRM-CP, SHRM-SCP or similar HR certifications are a plus.
Other Details
Reports to: Managing Director of HR & People Support
Location: San Francisco office, eligible for hybrid work. Required to be in-office at least 2 days/week
Hours: Full-time at 40 hours per week
Schedule: Monday to Friday, 9:00am to 5:00pm
FLSA status: Non-exempt, eligible for overtime
Union classification: Non-union position
