    Year-round role with lighter duties between seasons. Mostly remote, with occasional in-person events, storage access, games, and tabling. Minimal admin work. Leads program operations and growth with support from a 9-member volunteer board.

    Description

    Position and Duties

    Executive DIrector

    1. Run and Create Agenda for Quarterly Board Meetings with Meeting Notes and follow up
    2. Board Member Recruitment as needed
    3. Annual Calendar development
      1. Begin in October after Fall Sports are Underway for publish date of the Celebration for Miracles Banquet in November
      2. Confirm head coaches and locations for the next year
    4. Program Presentation to Plainfield Optimist Club Board in Fall
    5. Manage/Forward/Respond to any incoming emails to the OMM account
    6. Newsletter updates and plan to Newsletter Publisher (Laurren) as needed:
      1. December announcing Basketball registration opening, annual calendar
      2. March announcing Spring Sports registrations, Anna Harris Scholarship Application Deadline
      3. August announcing Fall sports registrations, Anna Harris Scholarship Winner and application for new school year
      4. October with invitation for the Celebration of Miracles, Anna Harris Scholarship application
    7. Monitor Autopay of Domain (GoDaddy), Website (SquareSpace) and Newsletter (Mailchimp)
    8. Coach oversight and coordination-
      1. Team Photos and Awards for final session coordinated with Debbie(magnets, medals, prize)
      2. Team and Individual Photo Coordination (at game/practice #2) with Sonia March (photographer) and Brittany(designs and prints off)
      3. Follow Up with Deirdre Braun Award Nominees by coaches at the end of the season via Google Drive
    9. Check in with Tshirt Inventory or Athletes and Volunteers and order as needed
    10. Equipment procurement as needed
    11. Remind Set up 1-2 days before each sport season for Coaches to manage during season
    12. Key management with Plainfield Optimist Club/Town of Plainfield
    13. Monitor and approve Need-Based Scholarships as they are applied for through the website
    14. Orient New Coaches as needed
    15. Create Athlete and Volunteer Registrations for each Sports season in SportsEngine
      1. Registrations open one month prior to the start of the season
      2. As registrations are ready send them to Webmaster to update website
    16. Development - (Find a volunteer for this role or ED does this)
    17. Grants/Sponsorships
      1. Write yearly grants for needed funds, work on finding new sponsors
    18. Fundraising- (Find a volunteer for this role or ED does this)
