    Description

    Help Believe in Me prepare smooth, accessible Legacy Lounge donor-education events through careful virtual setup and optional Seattle-based event coordination.

    The volunteer Event Setup & Breakdown Coordinator will create readiness plans, coordinate approved setup tasks, and ensure materials, equipment, spaces, and digital platforms are accounted for before and after each event.

    Responsibilities:

    • Create approved setup, technology, accessibility, signage, materials, hospitality, and breakdown checklists
    • Coordinate task assignments, timing, handoffs, packing, shipping, pickup, return, and storage
    • Prepare virtual rooms, links, permissions, waiting rooms, captions, recordings, polls, and presentation backups
    • Work with local volunteers or vendors when physical setup is required; remote participation remains available
    • Verify that emergency, privacy, consent, and accessibility procedures are ready
    • Track equipment and report damage, loss, missing items, or unsafe conditions
    • Protect attendee lists, schedules, access links, and donor information
    • Never independently approve purchases, certify safety, or move restricted equipment
    • Reconcile materials and document lessons after each event

    Qualifications:

    • Experience in event operations, logistics, audiovisual support, facilities, hospitality, virtual events, or administration
    • Strong organization, checklists, timing, communication, and problem-solving
    • Comfort with virtual-event platforms and shared project tools
    • At least 18 years old and willing to complete screening
    • Ability to follow safety, privacy, accessibility, and procurement procedures

    This is a remote, project-based role available within the United States, with separately coordinated optional Seattle support. Expect approximately 2–6 hours per event.
