    We are seeking a Volunteer Operations Manager to ensure volunteers are effectively onboarded, assigned, supported, and retained across the organization.

    Because bringing people in isn’t enough.

    You have to use them well.

    The Role

    This role is responsible for managing how volunteers are assigned, utilized, and supported across programs and teams.

    You will ensure volunteers are placed correctly, engaged consistently, and contributing effectively.

    You are not just coordinating volunteers.

    You are managing the operational engine behind them.

    This role operates across HR, programs, and operations, ensuring volunteers are aligned with organizational needs.

    What You’ll Own

    Volunteer Assignment & Utilization

      • Match volunteers to roles based on:
      • Skills
      • Availability
      • Organizational needs
      • Ensure volunteers are actively contributing

    Volunteer Lifecycle Management

      • Support the full volunteer lifecycle:
      • Onboarding
      • Active engagement
      • Transitions/offboarding
      • Ensure a structured and consistent experience

    Capacity Planning & Workforce Coordination

      • Identify volunteer needs across teams
      • Ensure proper coverage and support
      • Align volunteer capacity with organizational priorities

    Cross-Functional Coordination

      • Work with:
      • HR (recruitment & onboarding)
      • Programs (placement & execution)
      • Operations (workflow alignment)
      • Ensure volunteers are integrated into teams

    Engagement & Retention

      • Monitor volunteer engagement levels
      • Identify and address drop-off or disengagement
      • Improve retention through structure and communication

    Tracking & Reporting

      • Track volunteer:
      • Assignments
      • Activity
      • Utilization
      • Provide visibility into capacity and performance

    Process Development & Standardization

      • Build and improve processes for:
      • Volunteer placement
      • Tracking
      • Engagement
      • Ensure consistency across the organization

    Communication & Coordination

      • Maintain clear communication with volunteers and teams
      • Ensure expectations are understood
      • Support alignment and accountability

    Problem-Solving & Gap Management

      • Identify gaps in volunteer coverage or utilization
      • Reassign or adjust as needed
      • Ensure continuity in operations

    Continuous Improvement

      • Improve how volunteers are used across the organization
      • Strengthen systems and workflows
      • Support scaling of volunteer operations

    Who This Is For

      • Can manage multiple moving parts
      • Has strong communication and coordination skills

    Qualifications

    Required

      • 3–5 years of experience in:
      • Operations
      • Volunteer management
      • Workforce coordination
      • Strong organizational and communication skills
      • Experience managing multiple workflows or people

    Preferred

      • Experience in nonprofit or volunteer-based organizations
      • Experience in remote teams
      • Familiarity with tracking or workforce tools

    Commitment

      • 10–15 hours per week
      • Flexible schedule (aligned to volunteer and operational needs)
      • Participation in coordination meetings required
      • Fully remote
