    Description

    Manna Ministries, Inc. is seeking a skilled volunteer to help design, organize, and improve an in-house database and tracking system using Microsoft 365 tools.

    This volunteer opportunity is for an individual with experience or strong interest in database development, nonprofit administration, Microsoft 365, Microsoft Lists, Excel, SharePoint, OneDrive, Forms, Power Automate, Power Apps, data organization, and internal reporting.

    The goal is to help Manna Ministries, Inc. create a practical, secure, easy-to-use internal system for tracking programs, projects, events, volunteers, service activities, contacts, donations, inventory, reports, meeting records, and other organizational information.

    This is an in-house support role. The database or tracking system will be used for internal organizational operations and reporting. It is not intended to be a public website or public-facing platform.

    All work must be reviewed and approved by Manna Ministries, Inc. leadership before implementation. This role may involve access to internal organizational information; selected volunteers must follow confidentiality, data privacy, file access, and approval procedures.

    Responsibilities May Include

    1. Reviewing Manna Ministries, Inc.’s current internal tracking needs.
    2. Helping design a basic database or organized tracking system using Microsoft 365 tools.
    3. Creating or improving Microsoft Lists, Excel workbooks, SharePoint folders, Forms, Power Automate flows, or related tools.
    4. Helping organize data categories for programs, projects, events, volunteers, contacts, inventory, donations, service activities, and reports.
    5. Creating simple forms for intake, volunteer sign-up, event tracking, supply tracking, or service reporting.
    6. Assisting with basic dashboards, reports, filters, summary views, and exportable reports.
    7. Helping set up user-friendly naming systems, folders, file organization, and access practices.
    8. Supporting basic automation where appropriate, such as notifications, reminders, form responses, or internal task routing.
    9. Preparing simple written instructions so staff or approved volunteers can use the system.
    10. Maintaining confidentiality and protecting organizational, volunteer, donor, participant, and community information.

    Qualifications

    1. Experience or strong knowledge of Microsoft 365 tools.
    2. Familiarity with Microsoft Excel, Microsoft Lists, SharePoint, OneDrive, Forms, Power Automate, or Power Apps preferred.
    3. Ability to organize information clearly and build user-friendly systems.
    4. Understanding of basic database structure, fields, categories, filters, permissions, and reporting.
    5. Ability to explain technical information in plain language.
    6. Dependable, detail-oriented, and able to complete assigned tasks.
    7. Respect for confidentiality, privacy, and nonprofit recordkeeping requirements.
    8. Ability to work with Manna Ministries, Inc. leadership to understand internal needs before making changes.
    9. Willingness to document the system and provide simple instructions for future use.
    10. Adult volunteers are preferred because this role may involve access to internal organizational information.

    This role may involve access to internal organizational information. Selected volunteers must follow Manna Ministries, Inc. confidentiality, data privacy, file access, and approval procedures. All database structures, forms, lists, automations, reports, and file organization changes must be reviewed and approved by Manna Ministries, Inc. leadership before implementation.

    Volunteers under age 18 must have written authorization from a parent or legal guardian before beginning volunteer service. If selected, minors must submit a completed Parental/Legal Guardian Authorization, Liability Release, and Reliability Agreement at or before orientation and before participating in any volunteer activity.

    Short Idealist field version: Minors must have parent/legal guardian authorization. If selected, the required form must be submitted at or before orientation and before volunteer service begins.
