Community Literature Initiative is a non-profit organization dedicated to teaching emerging underserved writers how to write and publish books. The CLI course is a 10-month (September to June) training program to refine works-in-progress into finalized manuscripts ready for publication. At the conclusion of our program, all students emerge knowledgeable aspiring published authors!
Job Purpose
The Publishing Class Manager Assistant (PCM Assistant) is a vital volunteer role within our team, supporting the smooth operation of our Publishing Class program. The PCM Assistant helps with various administrative tasks, including updating Canva templates, sending newsletters, tracking student payments, updating Google Sheets, managing light calendar duties, and booking guest lectures. This role is essential in ensuring effective communication and coordination between teachers, students, and guest lecturers.

Duties and Responsibilities
Administrative Support:
- Update flyer templates in Canva.
- Send out weekly newsletters to students about announcements and upcoming events.
- Track and follow up on student tuition payments.
- Update Google Sheets with student and program information.
- Provide light calendar management for the Publishing Class Manager.
- Book guest lectures and coordinate schedules.
Student Management:
- Assist in managing incoming student materials, including emailing schedules and coordinating one-on-one meetings.
- Ensure students are added to the teacher’s BAAG report and have access to manuscripts.
- Support the review and organization of Google doc manuscripts.
- Help manage the status of new student textbook materials and mail out new student materials as needed.
Communication and Coordination:
- Answer and/or direct phone calls and emails to the appropriate parties.
- Maintain polite and professional communication via phone, email, and mail.
- Send out podcasts and videos for students.
Qualifications
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in using Google Workspace, Canva, and other relevant software.
- A proactive and problem-solving attitude.
- Experience in education, nonprofit, or literary fields is a plus.
- Interest in literature, writing, and promoting diverse voices.
- Ability to build and maintain positive relationships with students, instructors, and colleagues.
- Prior experience with project management tools such as Asana is a plus, but a willingness to learn and adapt to such tools is also acceptable.
