    Role Summary

    The Event Logistics Lead oversees operational planning and execution systems for MFCF’s major annual events, including:

    • Black History Month Programming
    • Donors & Doers Summit
    • Donors & Doers Roundtables
    • Summer Programming
    • Aya House Ball
    • Annual Meeting & Community Awards

    This role builds repeatable event systems so each event does not require founder-led reinvention.

    Reports To: Office Manager

    Works Closely With:

    Monthly Giving Lead, DIgital Organizer, Youth Chapter Architect, Board & Operations Liaison, Board Chair, Program & Fundraising Committee Co-Chairs,Treasurer, President & CEO

    Primary Responsibilities

    Event Planning Infrastructure

    • Coordinates with Program & Fundraising Committee to align event execution with revenue and engagement goals.
    • Create standardized run-of-show templates for each core event
    • Develop event timelines and task trackers for each core event
    • Develop vendor coordination checklist
    • Maintain event budget tracking sheet

    Volunteer Coordination

    • Recruit & train event-day volunteers
    • Assign roles and shifts
    • Lead volunteer briefing before each event
    • Serve as event-day captain

    Sponsor Fulfillment

    • Track sponsor benefits
    • Ensure logo placement and recognition
    • Coordinate sponsor seating and acknowledgments

    Post-Event Systems

    • Document lessons learned
    • Update master event playbook
    • Provide debrief summary to CEO

    Qualifications

    • Strong logistics and organization skills
    • Ability to remain motivated & focused under pressure
    • Professional experience with in person & hybrid events required
    • Ability to lead volunteers
    • Personal alignment to the MFCF mission is required
    • Able to commit a minimum of 5 hours/month for MFCF-related activities, planning, and meetings
    • Keen understanding & awareness of the socio-economic conditions of minorities in the U.S. required
    • Experience with or familiarity with faith-based or nonprofit organizations a plus
    • Ability to learn by doing and step outside of your assigned role to support other areas, most often acquired through experience working at/with a startup organization
    • Capable of receiving instructions and feedback and applying it without requiring close supervision

    • Volunteer no-shows minimized
    • Sponsor benefits fully delivered
    • Event playbook refined after each event
