Description
Responsibilities - Executive Assistant
- Executive Support
- Provide high-level administrative support to the CEO.
- Attend two weekly meetings with the CEO.
- Remain available to support the CEO as needed, including occasional weekends.
- Participate in and take notes during meetings involving senior leadership.
- Client Communication
- Serve as a professional point of contact for clients with timeliness, courtesy, and discretion.
- Coordinate with internal stakeholders, including the CEO, Operations Manager, ASA team, and Board of Directors.
- Coordinate with external stakeholders, including donors, partners, and prospects.
- Scheduling & Calendar Management
- Manage the CEO’s calendar, meetings, appointments, and scheduling needs.
- Answer and direct inquiries to the appropriate ASA team or department.
- Email Management
- Monitor, organize, and respond to emails.
- Check email three times daily: morning, afternoon, and evening.
- Travel & Event Coordination
- Arrange and manage domestic and international travel for ASA team members.
- Coordinate virtual meetings and online events, including scheduling, technology setup, and participant communication.
- Miscellaneous
- Prepare and edit correspondence, reports, and presentations.
- Coordinate executive and board meetings, including materials and follow-up.
- Support strategic initiatives and special projects as assigned.
- Track priorities, deadlines, and executive commitments.
- Handle confidential information with discretion and professionalism.
Requirements - Executive Assistant
- Must live in Illinois, Kentucky, or California and be out of college.
- Valid U.S. work authorization (OPT accepted; no visa sponsorship or cost coverage).
- Commit to 10–20 hours per week for at least one year.
- Reliable computer and Wi-Fi for a fully remote role.
- Comfortable with remote communication and basic outreach.
